Copyrights and Permissions – Standards and PoliciesThe standards and policies are set forth by the Contracts, Copyrights and Permissions Department. The procedures as follow are for requesting images and/or short stories, excerpts, poems, audios, videos, CDs etc. for CLASS™ course development. Requests are to be made by the lead Instructional Designers or Design Specialists on a given course. All requests must include a “Permission Request Form” along with copies or print-outs of your specific request. This request form should include: name of course, requestor’s name (ID/IDS), date requested, vendor’s name, and any other pertinent information. The form is located on ‘Eredrnd’ server. If you know that CLASS™ owns a CD that contains the image(s)
that you need, the procedure is still in effect. Permissions Department
still needs the paperwork for the image(s).
The Permissions Department determines whether a CD is to be purchased based on the number of images to be used by CLASS™. The guideline is that if a CD contains three or more images needed in a course, then the CD will be purchased. Procedure requires that a Request Form be completed as usual. Attach copies of the images to the Request Form as usual and make note that three or four images are from a particular CD (eg PhotoDisc™ Volume Series #74). Verify the CD identity and print a copy of each print to be attached to the Request Form. Follow the procedures to notify the Permissions Department of which images are being used. This is important for both the record keeping of Permissions as well as Accounting. Procedure for Designing Images: (Graphic Designers) All designs created in-house by a graphic designer MUST have “Waiver for Graphic Design” form turned in to Permissions. It must be complete with signature and all pertinent information. The form is located on ‘Eredrnd’ server. Procedure for NET Designs: Any requests for designs to be created by Nebraska Educational Telecommunications (NET) must be pre-approved by the Permissions Manager. The Permissions Manager must also be notified of other work from NET, such as, a person’s voice used, photos taken, etc. A ‘Waiver For Original Work’ must be provided to Permissions, including the name of the person doing the work, course name, and details of the work to be completed. Crediting Design Elements Elements under 150 pixels wide or high (unless the credit line is extremely short and it fits in one line under the element and is readable) will be credited in the element credits section of the course. The credits page must have a reference page for each element credited or an HTML line or link anchoring the element to the credits page. Montages, collages and Flashes™ pieces may be credited on the credits page as long as they are referenced on the credits page. If an image is used throughout the course and the element has to be credited on the credits page, a “blanket” credit line can be inserted on the credit page. A good example of this is the tool Mathtype™. This symbol generator is used throughout math courses to create equations that can be turned into images. A separate reference is not required for every equation. A simple “blanket” credit line will be sufficient on the credits page. If an element absolutely cannot be credited underneath and is listed on the credits page, it must be referenced on the credits page for every place it appears in the course. The only exception would be in a situation similar to the Mathtype™ example, where a majority of the elements are coming from one source and a “blanket” credit line is used. Modification of Images: Many ‘Vendor Agreements’ do NOT allow any modifications
whatsoever to their images. If an image is modified then it is not
portraying what the photographer was originally trying to show or portray.
This is a very important issue. The University attorneys were adamant
that purchased images or elements could not be modified or altered
in any regard unless a specific agreement for a particular image states
